Bingo Roles and Duties


Bingo Volunteer Positions


as outlined in the Alberta Gaming and Liquor Commission’s Bingo Terms and Conditions and Operating Guidelines.

 

 

Chairperson:           Must be a volunteer position and is responsible for the overall operation of the event in consultation with the advisor.

 

This responsibility includes:   

·                  supervising all staff;

·                  assigning duties to volunteers;

·                  ensuring the secure handling of cash;

·                  complying with the Financial/Inventory Control System.

 

Duties include:

·         making sure that all paid staff and volunteers sign in before starting duties;

·         confirming the identity of all volunteers and assigning then to positions for which they are 

·         qualified;

·         counting and signing for the cash float(s) and cards issued from and

·         transferred to the advisor;

·         checking bingo equipment with the caller, advisor, paymaster, bingo co-coordinator, or a player to ensure it is operating properly;

·         counting and signing for the cash and cards to and from the paymaster, cashier, and controller(s);

·         where there is no verifier in use, verifying with the master book the winning card(s) for major prizes ($500 or more) and the games with separate sales;

·         preparing the bank deposit and depositing the sealed bag in the safe;

·         resolving complaints from the customers with the advisor;

·         following the Terms and Conditions regarding the payment of prizes in conjunction with the advisor and/or the caller;

·         completing the required Financial/Inventory Control System forms with the advisor;

·         retaining a copy of the completed event summary from the advisor;

·         advising the Regulatory Division of any cheating or other problems;

·         completing discrepancy reports as required;

·         ensuring that the name, address and phone number of each winner of a major prize ($500 or more), or bonanza game, is recorded on the back of the winning card and that card is attached to the control sheet for the game to which the prize relates;

·         ensuring that all of the Financial/Inventory Control System responsibilities are carried out in compliance with the Terms and Conditions;

·         witnessing the issue of new pull tickets and the float to pull ticket seller;

·         counting and signing for cash received from the pull ticket seller and ensuring the deposits are in compliance with the Terms and Conditions.

 

 

 

Paymaster:     Must be a volunteer position that reports to the chairperson and supervises the awarding of prizes.

 

Duties Include:

·         counting and signing for cash transfers to and from paid staff and volunteers;

·         checking bingo equipment with the caller, advisor, chairperson, bingo coordinator, or a player to ensure it is working properly;

·         transferring cash prize(s) and receipt for each game to money runner or chairperson;

·         recording all prize payouts;

·         completing and signing Financial/Inventory Control System forms;

·         ensuring that the name, address and phone number of a major prize ($500 or more), or bonanza game, is recorded on the back of the winning card and that card is attached to the control  sheet for the game to which the prize relates;

·         completing discrepancy reports as required;

·         ensuring that all of the Financial/Inventory Control System responsibilities are carried out in compliance with the Terms and Conditions.

 

 

Bonanza Controller:      Must be a volunteer position that reports to the chairperson. This position may be combined or separated into one or more positions on the advice of the chairperson and/or advisor.

 

Duties include:

·         supervising bonanza card sales and calculating bonanza prizes with the chairperson and  

·         advisor;

·         counting and signing for the number of cards received from the chairperson;

·         counting and signing for the cash float received from the chairperson;

·         issuing cards and floats to sellers, making proper entries  on Financial/Inventory Control System form and ensuring sellers sign for cards and floats;

·         counting and signing for cash/cards received from sellers and recording them on the financial control form;

·         counting and signing for the number of returned cards with the chairperson;

·         balancing all cash and cards and working with the chairperson and advisor to ensure that the correct percentage of sales is paid to the winners;

·         completion of financial control forms;

·         counting and signing off all cash, which is then transferred to the chairperson along with the completed financial control forms;

·         completing discrepancy reports as required;

·         ensuring that all of the Financial/Inventory Control System responsibilities are carried out in compliance with the Terms and Conditions.

 

 

Satellite Controller:      This position may be a volunteer or paid position as designated by the hall and reports to the chairperson.

 

Duties must comply with the approved Alberta Satellite Bingo Operations Manual and shall include:

·         controlling and reconciling sales and reporting to the network studio;

·         counting and signing for cards provided by the chairperson or advisor;

·         counting, recording and entering on the Satellite management system the cash float received from the chairperson;

·         scanning Satellite cards, recording cards and floats issued to sellers on Satellite control form and ensuring sellers sign for cards and floats;

·         counting all cash and cards returned by sellers and making entries on Satellite control form;

·         entering card sales reports for the network studio;

·         balancing sellers returned cards, cash and float and record on Satellite control form ensuring seller has witnessed, verified and signed transactions;

·         verifying the final main prize and consolation prize based on the number of card sold;

·         printing a copy of the final game worksheet and verifying with the chairperson and advisor:

·         the printed copy of the worksheet with the information on the Satellite game management

·         system 

·         the count and signature for the transfer of all unsold cards, cash and float to

·         the chairperson;

·         signing the printed copy of the worksheet and ensuring that chairperson and advisor also sign

·         if all duties have been completed, this position may perform the duties of a Satellite game verifier/number recorder with the caller;

·         completing discrepancy reports as required;

·         ensuring that all of the Financial/Inventory Control System responsibilities are carried out in compliance with the Terms and Conditions.

  

           

Sellers/Checkers:      This position may be a volunteer or paid position as designated by the hall and reports to the chairperson.

 

Duties include:

·         counting and signing for the float given and returned to the controller;

·         counting and signing for cards received by the controller for sale to the players;

·         sell cards to players;

·         accounts for cash from sales;

·         counting and signing off the cash and unsold cards to controller;

·         ensuring the caller is aware of any declared bingos;

·         verifying bingo through the verification/call-back procedure;

·         where there is no verifier in use, verifying major prizes ($500 or more) by taking winning card to the paymaster or chairperson for verification;

·         completing discrepancy reports as required;

·         ensuring that all of the Financial/Inventory Control System responsibilities are carried out in compliance with the Terms and Conditions.

Sellers/checkers may sell up to three types of cards at one time (with permission) if all cards are the same price. A seller who consistently has cash shortages must not be permitted to sell more than one type of card at any
